Book Vacation & Short-Term Rental Photography

1. Scheduling Your Vacation or Short-Term Rental Photo or Video Shoot

To book a vacation or short-term rental photo or video shoot, complete the online booking form above. After the form is submitted, you will receive an email confirmation. Once the date and time have been confirmed, the appointment will be considered booked.
 

Typical vacation rental photo shoots take approximately 1–3 hours, depending on the size of the property, number of rooms, amenities, and services requested. Photos are typically available within 48 hours. Videos are typically available within 2–3 days.
 

2. The Photo or Video Shoot

The photographer will make a reasonable effort to remove small, stray objects when appropriate; however, this does not include making beds, cleaning, dusting, moving large or heavy items, or rearranging furniture. The photographer may adjust blinds, shades, curtains, lighting, and small decorative items as necessary to photograph the property.
 

The photographer will photograph the significant features of the property at their professional discretion unless the Client requests specific features or areas in advance. Clients should identify any important amenities or features they want photographed, such as hot tubs, fire pits, game rooms, mountain views, outdoor living areas, or other features important to the rental.
 

Clients are expected to have the property clean, staged, and prepared before the scheduled appointment. Please review the Home Prep Guide before the photographer's arrival.
 

The Client is responsible for providing a safe working environment free from unnecessary interruptions. Pets must be secured away from the photographer, and children must be supervised and kept clear of areas being photographed. Whenever possible, guests, owners, and other occupants should vacate the property during the shoot.
 

3. Cancellation, No-Show & Inclement Weather

If cancellation or rescheduling is necessary, please provide at least 24 hours' notice. Appointments cancelled within 24 hours of the scheduled shoot may be subject to a $100 cancellation fee.
 

If access to the property cannot be provided within 30 minutes of the scheduled appointment, the appointment may be considered a no-show and subject to a $100 no-show fee. Every reasonable effort will be made to accommodate rescheduling.
 

Cloudy conditions generally do not require rescheduling. However, weather conditions such as flooding, high winds, rain, heavy fog, or snow may require the shoot to be rescheduled. When weather prevents photography, a new appointment will be scheduled at the earliest mutually available time.
 

4. Photo & Video Delivery

After the images and/or videos have been edited and prepared for delivery, they will be provided through Google Drive or another online delivery platform. Images and videos will be released after full payment has been received.
 

Any special photography or video requirements should be provided to the photographer before the scheduled shoot.
 

Delivered files will be retained by Ken Fine Photography, LLC for up to 12 months following delivery. Clients are responsible for downloading their files and maintaining their own backups. Ken Fine Photography, LLC cannot guarantee the availability of files after the 12-month retention period.
 

5. Rights & Usage

Images and videos produced for a vacation or short-term rental property may be used by the Client to market the photographed property, including use on vacation rental platforms such as Airbnb and VRBO, the Client's website, social media, advertising, and other marketing materials associated with the property.
 

The Client's property management company or parent company may also use the images and videos for the purpose of marketing the specific property photographed, provided that the Client is authorized to permit such use.
 

The license remains valid while the Client owns, manages, or is otherwise authorized to market the property. The license does not transfer with the sale of the property or to a new owner, property manager, management company, or other third party.
 

6. Copyright, Ownership & Third-Party Use

Copyright and ownership of all photographs and videos remain with Ken Fine Photography, LLC. The Client receives a non-exclusive, non-transferable license to use the delivered media for the purposes described above.
 

The license does not transfer to third parties, including subsequent property owners, property managers, management companies, real estate agents, architects, builders, designers, stagers, or other businesses unless written permission is provided by Ken Fine Photography, LLC.
 

Images and videos may not be sold, transferred, provided to, or reused by a new owner, property manager, management company, or other third party without written permission from Ken Fine Photography, LLC.
 

Ken Fine Photography, LLC reserves the right to use photographs and videos for its portfolio, website, social media, advertising, and other promotional purposes.
 

7. Payment Terms

Payment is due at the time services are rendered. Checks and major credit cards are accepted. Checks should be made payable to Ken Fine Photography, LLC. Photos and videos will be released after payment has been received in full. Applicable North Carolina sales tax will be added to invoices.
 

These terms and conditions are governed by and construed in accordance with the laws of the State of North Carolina.
